Answering evidence requests

How a company answers what its auditor asks for, by pointing to a record or a library document, and what happens to the answer.

Updated

During an audit, your auditor asks for evidence. Each request says what they need and why. You answer each item by pointing to something you already hold.

Who can do this

An owner, editor or contributor of your workspace.

Find the requests

Open Evidence library under Records & evidence on the rail, then choose Requests. The page is headed What has been asked of you. Each request shows its items, how each one should be satisfied, and how far it is answered.

Answer an item

Open Answer with a record:

  1. Enter the Record kind and the Record reference. Picking a record fills both.
  2. Write What this record proves.
  3. Press Send this answer.

The answer points to the existing record. It does not upload or copy it.

Where the auditor asked for a document, you can also open Answer with a library document and choose a file from your evidence library.

If you answer with a weaker kind of evidence than was asked for, the item says so. The auditor decides whether to accept it.

What happens next

The auditor accepts or rejects each answer, with a reason. The item then shows Accepted or Rejected, the reason, who decided and when. A rejection always says what would satisfy the request. You can then answer again.

Common questions

"Is there a deadline?" A request can carry a due date. It is shown as due. Automatic reminders are not sent yet.

"Can I ask the auditor what they mean?" Yes. Ask in the engagement's conversation.

"Does an accepted answer close a finding?" No. Accepting an answer means the evidence is enough. Findings are raised and answered separately.
