An export is a copy of your workspace's data, taken out as a file. Every export is asked for, recorded on the audit trail, built in the background, and kept only for a limited time.
Who can do this
Anyone in your workspace, including a viewer, can export a register, one person's data or the audit trail. Only an owner can export the whole workspace.
Find the page
Open Reports in the sidebar, under Workspace tools. The page lists every export that has been asked for. An empty list means no copy has left through the product, not that no copy exists anywhere.
Ask for an export
Under Ask for an export, choose one kind of export:
- One register: every current record of one register. Choose Which register.
- Everything held on one person: the answer to an access request: who they are, what they agreed to and what was written to them. Give Their reference.
- The audit trail: every change and who made it, as evidence.
- The whole workspace: every register, including special-category data. Reserved to an owner.
Press Request the export.
The file is built in the background. It takes minutes, not seconds. Press Check progress to see where it is: Waiting to build, Building, Ready or Failed. When it is ready, press Download.
What the file could not reach
Every file says whether it reached everything it was asked to cover. If it could not, it lists what it could not reach, so whoever reads it knows they do not have everything. Data that sits in a system nobody has linked to Asiri is not in the export.
How long it is kept
Each export shows the date it is kept until. After that, the file is removed, and the page says when. Ask for a new one if you need it again.
Exporting for one person
From a person's record under Data subjects, press Export their file. The page opens showing exports about that person only. Press Show every export to see them all again.
Common questions
"Is asking for an export recorded?" Yes, always, on the audit trail.
"Why does the list stop at a hundred?" The page shows the most recent hundred. Older exports exist but are not listed.
