When you already work with a company, invite it to Asiri. The client chooses its company and decides what you may reach. The invitation alone gives you no access.
Who can do this
An owner or editor of an admitted DPCO firm or DPO practice.
Invite a client
-
Open Clients and press Add a client (a DPO practice presses Invite a client). The page is headed Invite a client.
-
Under Client details, enter the Client organisation.
-
Under Your client contact, enter the Contact name, their Job title or authority and Their email address.
-
Under How you will help, choose the Purpose:
- Audit their records
- Work on their records with them
- Act as their data protection officer
- File their return
A DPO practice can choose only Act as their data protection officer or Work on their records with them.
-
Under Records you need access to, tick each register you need.
-
Press Invite client.
The invitation is sent straight away and appears under Invited this visit. The form clears, so you can invite the next client.
The address must be the client's
The contact's address has to be at the client. Asiri refuses:
- an address on your own practice's domain, because you would be authorising yourself
- a personal mailbox, such as a free email address, because it cannot stand for an organisation
What the client does
The contact gets an email asking them to answer by a set date. The link opens a page that says your practice has asked to act for them. It shows the purpose, what you would read and the answer-by date. Reading it grants nothing.
They sign in with the address you invited, then choose one of:
- Yes, they act for us: they choose the Company granting this access from the companies they own, or press Create a company through admission. They can untick registers they do not want to grant.
- No, not this: no access, with a reason.
- They do not act for us: no access, and the denial is recorded.
They type their name and role, then press Record the answer, or Decide later.
Adding a register after they authorise needs a fresh authorisation.
Follow your invitations
Client invitations on Clients lists each one with the contact, the purpose, the registers and where it stands. Once the client answers, it shows who answered and when.
While an invitation is waiting or has expired, you can:
- press Resend invitation: the old link stops working
- press Cancel invitation: it can no longer grant access
Common questions
"Does inviting a client create their workspace?" No. The client chooses an existing company, or creates one through admission.
"Can I invite somebody at my own firm to approve it?" No. A confirmation has to come from somebody at the client.
