Logging and answering a letter from the Commission

How a company logs a letter from the NDPC with the date the Commission set, tracks it to an answer, and drafts the reply its licensed firm sends.

Updated

When the Nigeria Data Protection Commission writes to you, log the letter straight away, exactly as received. The deadline is the Commission's date, not an internal target. Answering late is its own matter, judged separately from whatever the letter was about.

Who can do this

An owner, editor or contributor of your workspace can log letters and draft replies. The reply is sent by the licensed firm that acts for your workspace. A viewer can read the register.

Find the register

Open Records & controls → Regulator correspondence. The figures at the top are Letters, Open and Late. The tabs are Everything, Past the date, Needs an answer, Answered and No reply asked for.

A letter appears here only when somebody logs it. One that arrived by post or email and was not logged is not here.

Log a letter

Press Log a letter.

  1. Under What the Commission asks, write what the letter asks for.
  2. Under Which office it came from, name the office.
  3. Give the date and time it was Received.
  4. Give the Reply due date the Commission set, if it set one.

Check your entries and create the record. Each letter on the register then shows who owns answering it, when it was received, and the date to answer by.

Draft the reply

  1. Open the letter and press Draft the reply.
  2. Under Your reply, write the complete answer exactly as it should be stored. Answer each point from your records, and name anything that is still incomplete.
  3. Press Save draft.

A saved draft is not a sent reply. Drafting is your workspace's own work, and the draft is what your firm sends. When the firm sends it, they confirm it is them and the sender is recorded. The letter then shows as answered.

If no firm acts for you yet, press Find help answering on the register to find one in the marketplace.

If the date has passed

Late letters are counted under Late and listed under Past the date. Where the date has passed, record the answer, not the reason it slipped.

Common questions

"Is the Reply due date ours to choose?" No. Enter the date in the Commission's letter. If it set none, leave it blank.

"Can we send the reply ourselves through Asiri?" No. The licensed firm that acts for your workspace sends it.
