Receiving and responding to enquiries

Where enquiries from companies arrive, what you can see about the company, and how to answer them.

Updated

A company enquires by opening a conversation with your practice from your listing. You answer in that conversation. If they want a price, they request a quotation there too.

Who can do this

Anyone in your practice workspace can read and answer enquiries. Declining a quotation request, and sending a quotation, need an owner or editor.

Where enquiries arrive

Open Practice profile and go to the Enquiries tab. Enquiries are grouped into Waiting on you, Answered and Closed. When someone is waiting, a banner says how many companies are waiting and for how long.

There is no deadline for a reply. Your reply time is measured, though, and shown on your card once you have answered three conversations. Answering the oldest first keeps it low.

What you can see about the company

An enquiry starts anonymous. It is listed as Anonymous company until the company chooses to share its identity. You see the message the company wrote, which says what they need, how they would like to engage and anything they chose to share. You cannot see their records.

The company's name is shared when they request a quotation.

Answering

Press the enquiry to open the conversation. Write in the message box and send it. You can attach files or link a workspace record with Attach.

Use Pin as reference on a message that states a requirement. Pinned messages stay visible beside the agreement, and the agreement is drafted from them.

The panel beside the conversation shows the next step and whose turn it is. Before a quotation is requested, it says Waiting on the quotation request.

Passing on the work

Once the company has requested a quotation, you can decline it from the quotation. Open Pass on this request, choose a Reason and press Decline request. The form tells you whether the company receives the reason or whether it stays private.

You can also close a conversation. Press Details, open Manage conversation, give an optional reason and press Close conversation. A closed conversation can be reopened with Reopen conversation.

Common questions

"Why can I not see who the company is?" The company decides when to share its identity. It is shared when they request a quotation.

"Where are quotation requests from companies that already identified themselves?" Press Open identified quotation requests on the Enquiries tab.
