Recording your connected systems

How a company records the tools it uses, finds a provider in the directory, asks for a connection and approves it, and reads what each system reports.

Updated

Connected systems is your company's register of the tools that hold personal data: your CRM, HR system, help desk or core banking. Recording a system writes it down. It does not give Asiri access to it, and it does not start collecting anything from it.

Who can do this

An owner or editor of your workspace can record a system and approve connection requests. A contributor can ask for a connection, which someone else with that authority then approves. A viewer can read the page.

Find it

Open Connected systems in the sidebar, under Connections & trust. The figures at the top show Connections in use, Reported issues and Pending approval. The tabs are Connected, Needs attention, Directory and Requests.

Record a system

  1. Press Record a system.
  2. Give the System name and, if you know it, the Vendor.
  3. Choose its State: connected, read-only or not connected. This is what you declare. It does not authorise access or start collection.
  4. Press Record system.

If every connection your plan allows is already in use, you can still record a system as not connected.

Find a provider in the directory

Press Add integration or open Directory to browse the Integration directory. Search for a tool, or filter by category and by Setup availability. Each provider shows whether it is a Managed setup or a Planned connection.

Open a provider to read its Proposed data scope and Access and permissions. Give a Name in your workspace and press Add to your systems. It is saved as not connected. For a managed setup, contact your Asiri administrator to arrange it.

Ask for a connection

If you are a contributor, press Request a connection, name the Vendor or system and press Request connection. From a provider in the directory, use Request this integration instead.

A different person with connection authority must approve it. Your request shows under Requests as Awaiting approval, then Approved.

Approve a request

Open Impact assessments, then Approvals. Under Connection requests, each request names the vendor and who asked. Write an Approval reason and press Approve.

A system's own page

Choose a system in the list to open it. Connection details show the Category, where it is Hosted in, its Visibility, the Last reported read and the Credential expiry.

  • Reported run history lists the runs reported for it. These reports do not establish verified control evidence.
  • Under Manual run report, an owner or editor can record a run by hand: the Run result, What was read and What changed, or the Error if it failed. Press Record run.
  • Under Access check, press Check table-name access to see whether the system's recorded visibility permits reading table names.

When a system has a reported problem, its page says This connection needs attention and why. It also shows under Needs attention on the main page.

Common questions

"Does recording a system connect it?" No. It writes it into your register. Access and collection are separate steps.

"Why can't I approve my own request?" Someone other than the person who asked has to approve it.
