Requesting access to the client workspace

How a practice asks for authority over a client's registers after both sides sign, and redeems the one-use code the client reads to it.

Updated

Signing the agreement does not give you access to the client's records. You ask for the registers and actions you need, the client approves them, and a named person at the client reads you a one-use code.

Who can do this

An owner or editor of the practice workspace.

Request the scope you need

When both sides have signed, the next-step panel says Request company access. Open Agreement & scope in the conversation. The Register authority panel is under the signed agreement.

  1. Under Choose what you are asking the client for, select the registers and the actions you need. You can only choose what the signed agreement covers.
  2. Press Request selected authority.

The panel then says Waiting for the client’s authority decision.

When the client approves

The client may narrow what you asked for and sets when the authority expires. They write a reason for their decision, and you can read it.

Once they approve, the panel says Ask the client for the one-use authority code. Arrange a call. A named person at the client issues the code and reads it to you.

Enter the code

Type it into The code they read to you and press Read it back. A code lasts fifteen minutes and works once. As soon as it is accepted, the approved registers and actions take effect, and nothing else.

If the code does not open anything, it may have expired, already been used or been issued for another practice. Ask the client to issue a new one.

What you can reach

Open Record access in the conversation. Under Provider access to client records you see each permission you hold, and under Not granted what you do not hold, with the reason. Every read of the client's records is recorded in their audit trail with the person and time.

Changing or losing access

To change what you hold, request a replacement in the same panel. Your current authority stays in force until the replacement code is redeemed, or until it expires or is withdrawn. Anything wider than the signed agreement needs an amendment first.

The client can withdraw authority at any time. Access stops at once.

Common questions

"Can I reuse a code?" No. Each code works once. If the client issues a new code, any older live code stops working.

"Why can I not ask for a register?" You can only ask for what the signed agreement covers. Agree an amendment to cover more.
