Searching your workspace

How to search records across your workspace with the keyboard shortcut, narrow results by adding words, and what access means.

Updated

Search finds records across your workspace by their title or reference. It reads only what you are already allowed to view, so two people searching the same term may see different results.

Who can do this

Anyone signed in to a workspace can search it. Search respects your existing access: if you cannot view a record, it will not appear in your results.

Open search

Press ⌘K on Mac or Ctrl+K on Windows and Linux from any page. The search dialog opens.

You can also press the search icon at the top of the page.

Search for a record

Type at least two characters into Search records by title or reference. Results appear as you type. Press Up and Down arrows to move between them, and Enter to open the selected one.

Search looks across all registers you can access: processing activities, connected systems, people, security controls, audits, filings, incidents, policies and more.

Narrow results

If many results are found, a note says More matches exist. Add another word or a reference to narrow the search. Add another word or part of a reference to filter the list.

Each result says whether its reference or its name matched.

What you can see

Search reads only the records your own access lets you view. If a record exists but you cannot access its register, it will not appear. If your access changes, your search results change with it.

Common questions

"Why does my colleague see more results?" Search respects each person's own access. A colleague with a different role or membership may see records you cannot.

"Can I search inside a record's content?" No. Search matches on the record's title and reference only.
