Sending a quotation

How a practice prices a quotation request in the conversation, names the DPO for a DPO engagement, and sends or revises the quotation.

Updated

When a company requests a quotation in the conversation, the next-step panel says Send your quotation. You price the work and send it from the conversation.

Who can do this

An owner or editor of the practice workspace.

Your practice needs a payout account before it can send a quotation. You can prepare and save a draft without one. The form links to Configure payout details until it is set.

Open the quotation

In the conversation, open Quotation. Expand Prepare quotation. What you write stays a Private draft until you send it. Save draft keeps it without sending.

Fill in the quotation

The conversation opens the short form:

  • What will you do?
  • What will the client receive? and How will they know it is complete?
  • How long will it take?
  • Revisions included
  • Professional fee (₦): the form shows the fee, the VAT and the total.
  • Payment: One payment, due after both parties sign, or Two payments. With two payments, you set First payment (% of the total). The first payment is due after both parties sign and the rest after the client accepts the deliverables.
  • What is not included?
  • What do you need from the client?
  • Quotation valid until

NDPC statutory fees are separate from your fee.

Advanced options opens the full editor, in four steps: Scope, Deliverables and timing, Fees and payments and Review and send. Use it for recurring retainers, custom instalments or statutory fees.

Naming the DPO

If the company asked you to act as their data protection officer, choose the person in Who acts as the DPO and enter their Time commitment.

Only an admitted practitioner on Asiri with a verified email can be named. Anyone in your practice who cannot be named yet is listed under the field with the reason. If nobody can be named, the field says so.

Send it

Press the button that reads "Send quotation". Sending creates a permanent version the company can review. No payment is collected from a quotation. The signed agreement decides when payment is due.

After you send

The company can accept the quotation, request changes or decline it. If they request changes, their message appears with the quotation. Press Revise quotation or Prepare next revision, then send the new version. A revision needs a short note saying what changed. Each version is kept.

To take an offer back, press Withdraw current offer.

When the company accepts, the next step is Prepare the agreement.

Common questions

"Why can I not press Send quotation?" Either the quotation is missing something it needs, or your practice has no payout account yet. The form lists what to complete.

"Can I change a quotation I already sent?" Not that version. Send a revised version instead. The earlier one is kept as an earlier version.
