Twice a year, the DPO gives management an account of the period. Asiri assembles it from what your registers held for those six months. The DPO adds their own commentary and anything they need management to decide.
A report is an account, not a verdict. It states what the registers held on the date it was assembled. It does not declare anybody compliant, and a register with nothing in it is reported as exactly that.
Who can do this
- The DPO, or anyone who can edit the company's records, assembles a report, adds asks and records the tabling. A DPO from an engaged practice can do this inside the client's workspace.
- Only a company owner or editor decides an ask. The officer asks and management decides.
- An audit firm on an assurance engagement records verification.
Find it
In the company's workspace, open Programmes, choose the programme and press DPO reports. The page is Reporting to management.
The halves owed
Under Halves owed, each six-month period shows where it stands: Not yet written, Draft, Tabled, Missing once the half has closed without a report, or Never written.
If a half passed without a report, say Why nothing was written and press Record it as never written. The gap stays on the record.
Assemble a report
- Under Assemble a report, give the Period starts and Period ends dates.
- Add the officer's own words under Commentary (the officer's own words — optional).
- Press Assemble the report.
Press Open the report to read it.
Ask management to decide
On the report, under What I need from you, write What you want decided and Why, and press Add this ask. A company owner or editor answers each with Agree or Decline.
Table it
When the report has gone to the board or management, give who it was Tabled to and the Minute, and press Record the tabling.
Verification
An audit firm on an assurance engagement can verify the report: it gives the Audit reference and a Note, and presses Record the verification. Until then the report says it is not yet verified.
Common questions
"Does a report say we are compliant?" No. It is an account of what the registers held, not a verdict.
"Can the DPO approve their own ask?" No. Only a company owner or editor decides an ask.
