The engagement room and its steps

How the conversation between a company and a practice moves through five steps, from the request to the work, and how the next-step card says whose turn it is.

Updated

Every engagement through the marketplace happens in one conversation between the company and the practice. The conversation walks both sides through five steps and always shows the next one.

The five steps

  1. Request: the company enquires and requests a quotation.
  2. Quote: the practice sends a quotation and the company decides.
  3. Agree and sign: the practice prepares the agreement and both sides sign it.
  4. Pay and access: the company pays what the agreement requires before work starts, and grants the practice access to the records it needs.
  5. Work: the practice delivers and the company accepts.

The next-step card

Beside the conversation, a card names the next step and who takes it. When it is your turn, the button says Continue, or See the work once the work has started. When it is the other side's turn, the card says what you are waiting on and the button says View.

What the company sees:

  • Request a quotation, then Waiting on the quotation
  • Review the quotation
  • The practice is preparing the agreement
  • Review and sign the agreement, or Resolve the open questions if a clause has an unanswered question. Then Waiting on their signature.
  • Pay the first invoice, if the agreement asks for payment before work starts
  • Waiting on the access request, Approve the access request, then Issue the access code
  • Move the work forward

What the practice sees:

  • Waiting on the quotation request, then Send your quotation
  • Waiting on the client’s decision
  • Prepare the agreement
  • Review and sign the agreement, then Waiting on their signature
  • Waiting on the client’s payment
  • Request company access, Waiting on the client’s approval, then Enter the client’s access code
  • Move the work forward

If the card says Provider eligibility needs attention, the practice has to meet an eligibility check, such as a current licence, before the engagement can start.

The working areas

The conversation holds everything the engagement needs, under Shared files, Pinned messages, Deliverables, Agreement & scope, Record access and Invoices & payments. Press View quotation to open the quotation at any time.

What each step involves

Each step has its own guide:

  • Sending an enquiry to a practice, and receiving and responding to enquiries
  • Sending a quotation, and accepting a quotation
  • Drafting the engagement agreement, and reviewing and signing the agreement
  • Invoices and paying through Paystack
  • Requesting access to the client workspace, and approving a practice access request
  • Delivering work and acceptance

Common questions

"Can a step be skipped?" No. The agreement is drafted from the accepted quotation, and access is granted only after both sides sign it.

"Does Asiri hold the payment until the work is done?" No. Paystack splits each payment when it is collected. Nothing is held.
