Running a Quick Audit case

How a licensed DPCO firm opens a Quick Audit case, records what it covers, invites the client's people to answer without an Asiri account, reviews their answers, and drafts the report.

Updated

A Quick Audit collects answers, evidence and the record of processing from an organisation's people, who need no Asiri account. When the answers are in, you draft the report straight from the case.

Who can do this

An owner or editor of a DPCO firm whose DPCO licence is current. DPO practices cannot open Quick Audit cases. If the licence is not current, the page says so and links to Check the licence.

Find it

Open Quick Audit in your firm's sidebar, after Audits. Your cases are listed under Your cases, with the client, reporting period, contact and state. Search with the client or contact name.

Open a case

  1. Press New case. The form has three steps.
  2. The organisation: give the Client organisation, the Client contact email and, if you like, the Website. Asiri reads up to three public pages of the website when the case is created.
  3. Reporting period: give Period starts, Period ends and the As-of date.
  4. Review and create: check what is still to complete, then press Create draft case.

Record what the audit covers

Open the case. Under Audit scope, describe What this audit covers and press Save scope. Until the scope is recorded, no respondent can be sent an invitation.

Bring in the company's people

Open Departments & people.

  • To let the company tell you who does what, press Invite company contact. They list the organisation's departments and who heads each one. Choose what to add to the case. Nobody is invited until you say so. Then press Invite the heads.
  • To add someone yourself, press Add respondent, give their Full name, Email address and Job title, and press Send invitation.

Each respondent shows whether their email was sent and how far they have got. Press Resend invitation if it did not arrive. Someone not yet invited can be taken off with Remove. To take an invited person's access away, press Revoke, give a reason under Why is this respondent being revoked?, and press Confirm revoke.

Follow the answers

The case shows People submitted, Open responses and Activities with gaps. Read what people answered under Responses and the processing they described under Record of processing.

Review and report

Press Review the answers to have Eri read the case for contradictions and gaps. Each point is marked, for example Settle before the report or Worth asking. Then press Generate report to open an unsigned draft report, or Open full audit to continue in the full audit.

When you are done, press Close case. Closing stops respondents answering. What they saved stays with the case.

Common questions

"Do the client's people need an Asiri account?" No. They verify their email with a code and answer from the link they receive.

"Is the draft report signed?" No. It is a draft. Signing an opinion is a separate step in the full audit.
